SalaryCube Privacy Policy and Data Confidentiality

1. Introduction

This Privacy Policy explains how SalaryCube, Inc. (“SalaryCube,” “we,” “us,” or “our”) collects, stores, uses, and protects your personal information and confidential data. It also outlines your rights and choices regarding the data we collect.

This Privacy Policy is incorporated by reference into the SalaryCube Terms of Service and Master Service Agreement. If a conflict arises, the Master Service Agreement shall prevail.

2. Data Confidentiality

SalaryCube treats all client-submitted survey data with strict confidentiality. Company-identifiable data will not be released. Aggregated results are only presented when at least 10 companies contribute, and a minimum of 5 companies have submitted data for a specific job.

3. Information We Collect

  • Contact information (name, email, phone, company)
  • Payment information (only for processing, not stored by us)
  • Website form submissions and support inquiries
  • Browsing behavior through cookies or third-party tools
  • Compensation survey data (non-personal, aggregate)

4. How We Use Your Data

  • To create and manage user accounts
  • To process transactions
  • To provide support and communicate product updates
  • To improve our platform, marketing, and services
  • To conduct normative benchmarking and salary research in an anonymized and aggregated format

5. Legal Basis and Controller Role

For the purposes of applicable privacy laws (e.g., GDPR), you are the data controller for employee-level data submitted to SalaryCube. SalaryCube acts as a data processor and handles such data only on your behalf and per your instructions.

6. Data Retention

We retain data only as long as necessary to provide our services, meet legal obligations, and fulfill the purposes outlined above. Specific retention periods include:

  • Billing records: 7 years (for tax compliance)
  • Contact submissions: 2 years
  • Marketing preferences: until opt-out

7. Cookies and Tracking Technologies

We use cookies for:

  • Login and session management
  • Analytics (e.g., Google Analytics)
  • Advertising via Google Ads and Microsoft Advertising

Users can opt out using browser settings or opt-out links provided by those platforms.

8. Sharing of Information

We do not sell or rent your personal data. We only share it with trusted subprocessors for:

  • Payment processing (e.g., Stripe)
  • Analytics (e.g., Google Analytics)
  • CRM and email systems (e.g., HubSpot, Mailchimp)

All subprocessors are contractually obligated to comply with our data protection terms.

9. Your Rights

Depending on your location, you may:

  • Request access to your personal data
  • Request correction or deletion
  • Object to processing or request data portability

11. Security

We follow industry best practices to safeguard your data, including:

  • TLS encryption in transit
  • Access control and audit logs
  • Secure data centers via cloud infrastructure providers

Although not SOC 2 certified, SalaryCube adheres to commercially accepted industry standards for data protection.

12. Breach Notification

In the unlikely event of a data breach involving your personal information, we will notify you as soon as reasonably possible and in accordance with applicable law.

13. Subprocessors

A list of third-party subprocessors is available upon request. All subprocessors are subject to data protection agreements.

14. Changes to This Policy

We may update this Privacy Policy periodically. We will notify users via website updates or email. Continued use of the Service constitutes agreement to the revised policy.

15. Jurisdiction

This Privacy Policy shall be governed by the laws of the State of California. Any disputes shall be subject to the exclusive jurisdiction of the courts located in the State of California, USA.
